Privacy Policy

This policy explains how personal data is processed when you use the renAIsource website, complete the contact form, use the site assistant, or engage with us directly. The Spend Cube private pilot for e-conomic is covered by its own notice at /spend-cube/privacy.

2. What personal data we collect

We may collect and process the following personal data when you use the website or contact us:

  • Name
  • Work email address
  • Company name
  • Role / title
  • Phone number, if provided
  • Information you include in your message or contact request
  • Messages you type into the site assistant, with the assistant’s replies, your browser’s user-agent string and the page you were on
  • Website usage data collected through Google Analytics (see section 6)

3. Why we process your data

We process personal data in order to:

  • Respond to contact requests and business enquiries
  • Assess whether a conversation is relevant in a business context
  • Follow up on requests submitted through the website
  • Maintain records of inbound commercial enquiries and communications
  • Measure how the website is used, through Google Analytics
  • Answer questions through the site assistant, and review its conversations to improve its answers

4. Legal basis

The primary legal basis for processing contact requests is our legitimate interest in receiving, evaluating, and responding to relevant business enquiries.

Where relevant, data may also be processed because it is necessary to take steps prior to entering into a business relationship.

For website analytics and the site assistant, the legal basis is our legitimate interest in understanding how the website is used and in answering visitors’ questions.

5. Who we share data with

We do not sell personal data. We may share data with service providers that support operation of the website and related communications, including:

  • Vercel — website hosting
  • Resend — delivery of contact-form email
  • Google — website analytics (Google Analytics)
  • OpenAI — the site assistant
  • Other technical service providers where relevant

Such providers process data only on our behalf or under their own role as independent service providers, as applicable.

Some of these providers are based in the United States, so personal data may be transferred outside the EU/EEA.

6. Analytics and the site assistant

On the production website we use Google Analytics 4 to measure how the site is used. It sets cookies in your browser (such as _ga) and collects information such as the pages you visit, interactions such as starting and submitting the contact form, device and browser information, and approximate location. When the contact form is submitted successfully, we record that an enquiry was made, with only the page context — never anything you typed.

When you use the site assistant, your messages are sent to OpenAI, which generates the replies. Each exchange is logged — the time, your message, the assistant’s reply, the number of messages in the conversation, your browser’s user-agent string and the page the request came from — so that we can review and improve the assistant’s answers. The logs are stored with our hosting provider or in a logging service we have configured. Please do not enter sensitive personal information in the assistant.

7. Retention

We keep personal data only as long as reasonably necessary for the purposes described above.

Contact requests and related correspondence may be retained for up to 12 months, unless a longer retention period is required or justified by an ongoing dialogue or legal obligation.

Site assistant logs are kept only as long as reasonably necessary to operate, review and improve the assistant. Google Analytics data is kept according to the retention settings configured for our Google Analytics property, and deleted when no longer necessary.

8. Your rights

Subject to applicable law, you may have the right to request:

  • Access to your personal data
  • Correction of inaccurate data
  • Deletion of data
  • Restriction of processing
  • Objection to processing

9. Complaints

If you believe your personal data is being processed in violation of applicable law, you may also lodge a complaint with the relevant supervisory authority, including Datatilsynet in Denmark.

10. Changes

We may update this Privacy Policy from time to time to reflect changes in the website, our services, or applicable law.
